Suspension Files in Australia: A Buyer's Guide to Bulk Filing for Offices

Suspension files are one of those office staples nobody thinks about until the filing cabinet is empty. If you're restocking for a whole office — or fitting out new cabinets — buying in bulk from one supplier on account is far simpler than grabbing a few boxes at retail. This guide covers what to look for, the main brands Australian offices use, and how to order in volume on a purchase order or 30-day account.

Foolscap vs A4: get the size right first

The single most common mistake is ordering the wrong size. Most Australian filing cabinets and suspension rails are built for foolscap suspension files, which are wider than A4 and hold A4 documents comfortably with room to spare. A4 suspension files exist but suit specific A4-only systems. Measure your cabinet rail width before ordering in bulk — a full carton of the wrong size is an expensive return.

The brands Australian offices specify

For filing and archive, the names buyers reach for are Crystalfile (the long-standing standard for suspension and lateral filing), Marbig, and Esselte. They differ on rail type (slotted vs continuous), tab and insert style, and base weight (heavier bases hold thicker files without bowing). For high-use registries, choose a heavier-duty base and complete-file kits that include tabs and inserts so staff aren't chasing accessories separately.

Lateral vs vertical filing

If you're choosing a system rather than just refilling one, the lateral-vs-vertical decision drives which files you buy. Lateral filing (files hang side-on across a wide cabinet) is space-efficient for large registries; vertical filing (front-to-back in a drawer) suits smaller volumes. Buy the suspension files that match your cabinet type — they aren't interchangeable.

Buying suspension files in bulk

For an office refit or annual restock, bulk ordering by the carton is the cost-effective route. Send us your list (size, brand, quantity) and we'll quote it the same business day, confirm stock, and advise lead time. We carry filing and archive depth across Crystalfile, Marbig and Esselte, so you can usually source the files, tabs, inserts and archive boxes together.

Order on a purchase order or 30-day account

If you're buying for a business, school or government department, you don't need a personal card. The Stationery Store accepts purchase orders and offers 30-day EOM credit accounts to eligible organisations, so your office can order on account and pay against a GST tax invoice. See our business, government & school accounts page to set this up.
